Balaclava Business Centre Manager - Full Time

  • Manage all daily requirements of the centre, such as opening/closing of the centre, member requirements, sales leads, renewals, meeting room bookings, and mail distribution when required.
  • Collaborate with the Centre team to support the promotion and coordination of internal and external events.
  • Assist the Centre team in managing day-to-day operations, ensuring processes and procedures are followed effectively.
  • Support and guide the Centre team in achieving monthly centre performance goals.
  • Support the Area Director with sales leads and meeting room enquiries from start to finish, following company processes and liaising with all departments to ensure a favourable client experience and outcome.
  • Cultivate a strong sense of community within the centre, where clients are introduced to others to create effective workplace relationships and ensure a positive working atmosphere.
  • Complete new member induction, on-boarding/off-boarding processes and practices in line with current organisational procedures.
  • Ensure centres are adequately staffed and โ€˜runโ€™ with cover for any staff absences, ensuring arrangements are made and communicated to the relevant parties.
  • Responsible for a centre to reach the profit goals set in the budget each month.
  • Ensure the โ€˜Daily Checklistโ€™ for your location/s is completed during the day according to the centre & organisational policy and procedures.
  • Manage the efficient setup and โ€˜onboardingโ€™ of all new clients (eg, office set-up, inductions, allocation of phone extension, updating of applicable registers, notifying staff) based on current policies and procedures.
  • Manage all aspects of invoicing for your centre promptly, i.e. the accurate recording, entering and balancing of all daily and variable charges each day, preparation, checking and distribution of monthly client invoices and of any other specific reports as required.
  • Manage debt collection for your centre.
  • Prepare weekly reports for management, such as sales/occupancy reports and variable reports.

SALES AND LEASING:

  • Support the Area Director when touring and follow up with potential clients at each assigned location.
  • Support the Area Director in the preparation and follow-up of all proposals sent.
  • Ensure all vacant office areas are clean and suitable for viewing and resale.

MAINTENANCE:

  • Responsible for maintaining your assigned centres (ie, daily cleanliness of the facility, such as lights, cleaning, carpets, walls and general presentation).
  • Responsible for overseeing the entry and completion of all requests to building management.
  • Managing all other maintenance requests for the centre, to ensure that the centre is always kept in excellent condition.

Required Experienceย 

  • 3-5 years of experience in sales and customer service is a strong plus
  • 3-4 years of experience in people management

Carlton Customer Service Representative - Part Time

As aย Customer Service Representative, you will be the friendly face and operational backbone of our Cubes.co spaces. You’ll ensure the smooth day-to-day running of the centre while delivering warm, hospitality-led service to Members, Visitors, and Clients.

This role suits someone who is service-driven, highly organised, and passionate about creating outstanding workplace experiences. You will work across reception-based operations and will primarily support our Carlton base. You may support multiple Cubes.co locations across Victoria as needed.

Key Responsibilities

  • Ensure efficient daily operations, including centre opening and closing procedures
  • Deliver exceptional customer service to Members and Visitors, understanding their businesses and needs
  • Manage reception duties including meeting room bookings, mail distribution, access cards, keys, and registers
  • Coordinate new member onboarding, inductions, and offboarding in line with company procedures
  • Prepare and service meeting rooms, including setup, coffee deliveries, and welcoming clients
  • Support internal and external event promotions, networking sessions, and community activities
  • Maintain accurate records by updating CRMs and company registers
  • Respond to enquiries with the highest level of hospitality and professionalism
  • Report and follow up maintenance requests and work with building management when required
  • Collaborate closely with the Space Team, Management, and Business Centre Managers to support projects and day-to-day operations
  • Ensure the centre is always presented to a high standard

What we’re looking for

  • 2-3 years’ experience working in a customer service role
  • University graduate preferred
  • Customer service and sales experience are a must
  • Hotel operations or concierge background is a plus
  • Strong self-awareness
  • 2 + years of operational and or facilities management
  • Demonstrate strong moral values, empathy, passion, career aspirations, and positive living
  • Strong communication, organisation and project management skills

The Opportunity:ย We are currently seeking enthusiastic and reliableย Venue Assistantsย to join our casual pool. This role plays a key part in ensuring the successful delivery of events by providing on-site support and acting as the primary liaison between the client and the venue during event operations. This is an ideal opportunity for individuals with a strong customer service mindset, excellent communication skills, and an interest in events and AV/technology support.

Key Responsibilities:

  • Act as the on-site point of contact for clients throughout their event
  • Assist with AV and technical setup (e.g., microphones, video conferencing, speaker volume)
  • Ability to support coffee set-ups, and catering
  • Ensure event spaces are clean, presentable, and configured to client specifications
  • Provide responsive and professional support during events, including troubleshooting minor issues
